# Partner portal

> For 8×8 resellers and managed service providers: add clients, set them up, manage their seats and see how each one is using Captivo Link, on one monthly bill.

The partner portal is where 8×8 partners run Captivo Link for their clients. Each client gets its own Captivo Link workspace, connected to its own 8×8 account and CRM, and every client is billed to you on **one bill a month**.

From the portal you can:

* **Add clients** and choose how their seats are counted.
* **Set clients up yourself**, or invite their admin to do it.
* **See how each client is using it:** calls logged, match rate, seats used and AI adoption. Totals only: their calls stay private.
* **Know when something breaks:** clients that need attention are listed first.
* **Manage billing:** one bill on the 1st, by card or invoice, with a CSV of its lines for your billing system.
* **Give clients caller ID:** the [Chrome extension](https://docs.captivolabs.com/captivo-link-chrome-extension.md) is included with every seat.

## Getting access

Captivo Labs sets up your partner account. [Contact us](mailto:support@captivolabs.com) to become a partner.

Sign in at [link.captivolabs.com](https://link.captivolabs.com) with your work email: we email you a sign-in link, so there's no password. Partner accounts open on the **Clients** page.

To add colleagues, go to **Settings → People at \[your company]** and invite them by email.

## Your demo client

Start with a **demo client**: your own company, at **no charge**. It's a full Captivo Link workspace connected to your own 8×8 and CRM, so you can try it with real calls and use it to show prospects.

1. On **Clients**, click **Add demo client**.
2. Enter your company name, choose your CRM, and click **Add demo client**.
3. Your workspace opens. Connect 8×8 ([Connecting 8×8](https://docs.captivolabs.com/captivo-link-8x8-setup.md)) and your CRM.

You don't need to set up billing first. Unlike a client's workspace, your demo client shows its calls, for demos and testing.

You can have a demo client for each CRM, so you can show each integration you sell. They can all use the same 8×8 account: each call is then logged in every demo CRM.

To start a CRM's demo client again, remove it and add a new one.

## Choosing how you pay

Before adding your first paying client, choose how you pay. You only need to do this once.

* **By card:** charged on the 1st of each month. Card details are kept by Stripe, never by Captivo Link.
* **By invoice:** emailed to your billing address on the 1st, due within 14 days.

You can switch at any time on the **Billing** page.

***

## Adding a client

On **Clients**, click **Add client** and fill in:

| Field | What it's for |
| - | - |
| **Client name** | The client's company name. |
| **Your reference** | Optional. Your own account number or code for the client. It's shown on your bill and in its CSV, so you can match lines to your records. |
| **Their CRM** | The CRM the client's calls are logged to. |
| **Seats** | How seats are counted. See [Seats](#seats). |
| **Setting it up** | Who connects 8×8 and the CRM. See below. |

Before you save, the form shows what the client adds to your bill. Nothing is logged until 8×8 and the CRM are connected.

### Who sets it up

* **Invite their admin.** Enter the email of the client's admin. They sign in by email and connect 8×8 and their CRM themselves, and you can still help from the client's page.
* **I'll set it up for them.** The client's workspace opens as soon as it's created, so you can connect everything yourself. You can invite an admin later.

***

## Setting up a client's workspace

On a client's page, click **Open workspace**. You see the workspace as the client's admins do, with a banner at the top: **"Working in \[client]. Your changes are recorded in its activity, which its admins see."** Click **Partner portal** in the banner to go back.

In the workspace, you can:

* **Connect 8×8:** see [Connecting 8×8](https://docs.captivolabs.com/captivo-link-8x8-setup.md) for the API key and the call-history user.
* **Connect the CRM:** sign in as the CRM user the client's calls should be logged as.
* **Choose whose calls are logged**, on the **Team** and **Seats** pages.
* **Set preferences**, on the **Preferences** page.
* **Share the Chrome extension**, from the **Chrome extension** page once the workspace is live. See [The Chrome extension](#the-chrome-extension).

You can't see the client's calls. The **Calls** page is hidden when you work in a client's workspace; only the client's own admins see it.

## The client list

The **Clients** page lists every client, with those needing attention first.

| Status | Meaning |
| - | - |
| **Live** | Calls are being logged. |
| **Setting up** | Not logging yet. The next step is shown, for example "Next: connect HubSpot". |
| **Needs reconnecting** | 8×8 or the CRM stopped accepting the connection, for example after a password change. The reason and the date are shown. Calls from the outage are logged once it's reconnected, up to 30 days back. |
| **Not logging** | Something else is stopping calls being logged; the reason is shown. |

A client marked **Not on your bill yet** isn't being logged until it's added to your bill. This is retried each time you open the client's page; if it stays, contact [support@captivolabs.com](mailto:support@captivolabs.com).

## A client's page

Click a client to see:

* **Usage** for the last 30 or 90 days: calls logged (and the change on the period before), the share matched to a contact, seats used, and the share of calls with an AI summary. A chart shows calls per day. These are totals only.
* **Setup and connections:** each setup step and when it was done, and a warning if 8×8 or the CRM needs reconnecting.
* **Seats:** how they're counted and how many are in use. See [Seats](#seats).
* **Client admins:** who can sign in to the workspace, and when they last did. Invite more by email, or click **Remove** next to someone who has left or was mistyped: they're signed out straight away and can't sign in again. Their calls keep being logged.
* **Your activity in this workspace:** the changes you and your colleagues made. The client's admins see this list too.

Click **Edit** next to the client's name to change its name or your reference.

### Removing a client

At the bottom of the client's page, click **Remove client**. Their line comes off your bill straight away, with the unused days credited. Calls stop being logged, but their admins can still sign in and see their history.

***

## Seats

A seat is a person whose calls are logged. Ring groups and the main line are logged free. Choose how each client's seats are counted:

* **Fixed:** you set the number. It's what you're billed, and the most people the client can switch on. Fixed seats can't go below the number of people already switched on.
* **Automatic:** seats follow the people the client switches on, and your bill adjusts to match.

You can switch between the two, or change the number of fixed seats, on the client's page at any time. Changes are pro-rated on your next bill.

New people in a client's 8×8 account start switched off, so a new hire never adds a seat without someone deciding.

## The Chrome extension

[Captivo Link for 8x8](https://docs.captivolabs.com/captivo-link-chrome-extension.md) is a browser extension, for Google Chrome and Microsoft Edge, that shows who's calling, with their open records from the client's CRM, the moment an 8×8 line rings. It's included with every seat, so it adds nothing to your bill.

It's unlisted on the Chrome Web Store, so your clients get it from you or their admin:

1. Open the client's workspace and go to **Chrome extension**. The page appears once the workspace is live.
2. Click **Copy link** and send it to the client, by email, Slack or however you usually talk to them.

The same page shows who has signed in so far, so you can see how a rollout is going. For firms that manage their browsers centrally, it also has what their IT needs to install it for everyone at once: the extension ID for Chrome through Google Workspace, and the policy value for Edge through Intune or Group Policy.

To show it in a demo, install it yourself from your demo client's **Chrome extension** page and sign in with the email on your 8×8 user, then call your own 8×8 number. Your 8×8 user needs a seat in the demo client.

***

## Billing

The **Billing** page shows:

* **How you pay**, and buttons to update your card, download receipts, or switch between card and invoice.
* **Where bills go:** your billing email. Change it in **Settings**.
* **Your next bill:** one line per client, with your reference, its seats and the amount, before tax.
* **Past bills**, each with a PDF and a CSV of its lines.

Every bill is emailed with its CSV, ready to import into your own billing system. Demo clients are at no charge.

***

## Settings

* **Bills and CSVs go to:** the email address your bills are sent to.
* **Your clients contact you at:** shown to your clients' admins, for example if Captivo Link stops logging their calls.
* **People at your company:** everyone who can sign in to your partner portal. Invite colleagues by email.
